Costs and pricing

Part of UGC marketplaces costs and pricing: build a cost ledger, not one total

Costing one UGC asset with price units, legal payers and blanks where evidence is missing

Build an evidence-led cost record for one England UGC asset, with separate price units, legal payers, VAT fields and blank unsupported amounts.

What to take away

  • No authoritative source publishes a like-for-like price for one England UGC marketplace commission, so the total is built from your offers and invoices.
  • One asset means one short-form creator-made video or image set for one brand unit, with approval and correction evidence attached.
  • Every amount must carry seven fieldsparties, money, charge, scope, change, evidence and judgement.
  • An illustrative England record for one short-form video in this article totals GBP 572.50 before VAT, labelled as example only.
  • The total stays blank until every included row shares currency treatment and period; unresolved lines sit beside it.

Why no England price list exists

No regulator, marketplace or trade body publishes an open price for one England UGC commission. Published creator rates describe other scopes and other markets. A figure without territory, usage term and edit allowance cannot be compared.

Marketplace fee structures also differ in what they cover. Some charge a commission on creator cash. Others bundle sourcing and usage into one service fee. Neither tells you which lines you are paying for.

So this article gives a method, not a number. The figure that matters is the total on your own accepted quote.

The seven fields every amount carries

Record these fields for each monetary input before it counts:

Field / What it holds

Parties
legal payer and payee, with entity names
Money
currency, VAT status and VAT treatment
Charge
unit, quantity, period, term and minimum
Scope
asset, channels, territory and edits
Change
who approves a variation and at what rate
Evidence
offer, contract or invoice, with dates
Judgement
named reviewer and decision date

Seven fields for every amount

  • Partieslegal payer and payee
  • Moneycurrency and VAT status
  • Chargeunit, quantity, period, term
  • Scopeinclusions, exclusions, pass-through
  • Changecancellation, refund, renewal rules
  • Evidenceoffer, contract, invoice, dates
  • Judgementassumption, confidence, owner, trigger

Splitting the commission into rows

Keep supplier licence or usage, marketplace or agency work, creator cash, gifted consideration, representative deduction, production, music and other rights, paid media and buyer labour on separate lines.

Claim review, data protection, safeguarding, accessibility and security each need their own work package. Correction, withdrawal, export and deletion need rows too, because they can fall after delivery.

Split the commission into rows

  • Supplier licence or usage
  • Marketplace or agency work
  • Creator cash and gifted consideration
  • Representative deduction
  • Production, music and other rights
  • Paid media and buyer labour
  • Claim review, privacy, PECR, safeguarding
  • Accessibility, security, contracts, finance, tax

Rights and reuse fees

The IPO's ownership of copyright works guidance states the creator is usually first owner unless the parties agree otherwise in writing. A production price does not automatically buy reuse.

Record the actual rights instrument and its cost. Where no licence is bought, leave the rights row blank rather than inserting an allowance. Buyers comparing how rights sit inside different commercial shapes can read UGC marketplace business models first.

Payers, deductions and VAT

The legal payer is the entity named on the contract and invoice. Keep gross and net creator consideration apart. HMRC's platform operator guidance lists fees, commissions and taxes withheld as separate reporting concepts, not a single net figure.

GOV.UK's invoice requirements cover the parties, supply description, dates, amounts, VAT and total. Use that shape for the record. It does not decide whether your supply is VATable or recoverable.

Do not label a freelancer, creator or reviewer an employee to obtain a labour figure. Acas, which covers Great Britain, explains that employment status depends on the real working arrangement. Your accountant and tax reviewer settle the classification for the actual parties.

Example: an illustrative cost record for one asset

The rows below are an illustrative England example for one short-form video, not a benchmark. Replace each figure with your own quote.

Illustrative cost record for one asset

RowBasisExample amount (GBP)
Creator fee, one short-form videofixed, one revision round250.00
Marketplace commission15 per cent of creator fee37.50
Music licence, 12 months paid socialper track90.00
Buyer labour, briefing and review4 hours at internal rate120.00
Post-delivery correction window30 days, capped75.00
Total before VATsum of admitted rows572.50

Mark the VAT treatment on each row. Leave a row blank where you hold no evidence for it.

Reconcile cost states

Mark every row as committed, incurred, invoiced, paid or forecast, with the event and date that changed it. A quote is not an incurred cost, and an invoice is not proof of payment.

  1. Match the accepted asset version to the purchase order.
  2. Match the purchase order to the invoice.
  3. Match the invoice to payment evidence.
  4. Point credits and refunds back to the original row.

Rejected work stays visible with its contractual outcome. Teams that want approval gates written down can use the blank budget template alongside this record.

Common questions

How much does one UGC asset cost in England?

No fixed published price exists. Build the total from your accepted quote and the rows above. A single asset quote may include or exclude licence, music and correction work, so compare quote packs line by line.

What must each amount in the record include?

Parties, money, charge, scope, change, evidence and judgement. Keep the date of each state change in the same record.

How should unresolved lines be shown?

Report them beside the total with the missing evidence named. Do not substitute zero, because a zero hides an open question.

Who is the legal payer?

The entity named on the contract and on the invoice. Contract shape decides who carries correction and withdrawal duties, so read the contract categories before signing.
